Purpose of the project:
The student will develop comprehensive procedures and guidelines that govern how the organization creates, maintains, uses, and disposes of its records. This position bridges academic records management principles with practical application, ensuring compliance with legal requirements while improving organization efficiency and information accessibility. The graduate student will gain hands on experience in procedures development, stakeholder engagement, and implementation of records management best practices.
Summary of activities required to carry out the project:
The graduate student will assess current records management practices and procedures based on existing documentation. They will research applicable legal and regulatory requirements to ensure all procedures align with industry standards and compliance obligations.
Core activities include developing detailed procedures and workflows that provide step-by-step operational guidance for managing records effectively, and creating user-friendly guidelines, templates, and job aids to support consistent implementation across the organization.
Additional activities include preparing training materials and presentations to help staff adopt new procedures, and documenting the project process with recommendations for future improvements.
Expectations of the end result of the project, for both host and student:
For the Host Organization:
The organization will have a comprehensive procedures manual with detailed workflows for creating, classifying, storing, retrieving, and disposing of records, along with practical guidelines featuring templates, checklists, and quick-reference materials. Deliverables include, draft training materials, disposal guidelines, record transfer procedures, updated retention and classification schedule, and a final project report with implementation recommendations.
For the Student:
The student will gain practical experience applying academic knowledge to real-world records management challenges and develop professional competencies in procedures documentation, process design, stakeholder management, and project management. The graduate student will build a substantial portfolio piece demonstrating their ability to create professional-quality documentation.

- Winter Term 1 (September – December)
- Winter Term 2 (January – April)
- Summer Term 1 (May – June)
- Summer Term 2 (July – August)
